Senior Executive – Counselling (Student Service Centre)

The Student Services Officer provides administrative services and assists in the effective development and operation of Student Services at the university as the first point of contact in Student Services. The Student Services Officer provides reception services within the department which includes assisting with student behaviour cases, security issues related to students, public relations initiatives, recruitment projects, and providing general information related to Student Services. The incumbent supports University advancement activities by assisting in the organization and promotion of student events and conferences.

Counselling Services

  • Provide a confidential counselling service for students to assist in their personal growth, academic, behavioural and personal concerns.
  • Provide consultation to staff and parents.
  • Refer the client to other external specialists as necessary.
  • Plan and organise mental health-related activities.
  • Support the Student Disability Services.
  • Supervise the IUMW Peer Helpers group on the implementation of mental health-related activities.
  • Vetting and reviewing of students’ applications for extenuating circumstances

Events Management

  • Organizes effective student orientation events and constantly improves the experience
  • Develop a close operational partnership with the Registry and Marketing Team in order to actively participate in key events and activities, such as induction/orientation programmes and wellbeing events.
  • Participates in Recruitment activities both on and off-campus as needed
  • Liaises with students, instructors and bus companies to organize transportation for commuting students and for field trips
  • Prepare and disseminate a range of information and guidance materials, workshops and events for students and staff, for delivery via a variety of media, including face-to-face, telephone, paper and online.

 

Student Activities

  • Vetting of student event proposals to ensure the appropriateness of the events
  • Monitoring of expenses and ensuring they are within budget allocation
  • Ensuring all regulatory requirements are met when conducting any events
  • Provide professional advice and support for student events and activities

 

Pastoral and Support Services

  • Provide a frontline support service, in identifying and resolving student issues, and where specialist service interventions have been identified, to ensure that the necessary referrals are made efficiently and professionally to the Counselling Team, Student Services, other departments and/or external organisations, where applicable.
  • Provides administrative support to various teams within Student Services as required
  • Liaises with Registry Department regarding applications processing and student cases
  • Coordinates with the Security Staff Supervisor to identify security issues for students
  • Assists the Supervisor with investigating student behaviour cases where Student policies have been violated
  • Assists with front line reception and other areas within Student Services as required by the Supervisor
  • Develops an awareness of and respect for the customs and cultures of IUMW students and employees
  • Performs other related duties as assigned by the Supervisor
  • Provide information, advice and support to students on a range of personal, pastoral and academic issues through structured sessions and informal drop-ins.
  • Efficiently assess the student’s need, to enable appropriate onward referrals and make recommendations for ongoing support.

Problem Solving

  • Identify complex problems of student welfare, and seek advice on their resolution with relevant departments
  • Advise students on their wellbeing, and to refer students to Student Counsellor for pastoral care

 

Recruitment and Enquiry Management

  • Help with University Open Days, present a welcoming public face to the applicants and their families
  • Assist with marketing as and when required to promote increased applications and high retention rates
  • Meet with potential applicants and parents who visit the University outside the official Open Days, as required

 

Quality Assurance and Regulatory Compliance

  • To assist the Quality Assurance Department in preparing documents and submit the required information to comply with the requirements of the appropriate authorities (e.g. MQA, MOHE, University of Wales);
  • Act as secretary to designated student issues committees (i.e. mitigation panels) to support effective departmental governance and decision-making, and to ensure that proper records are kept and accurate results are issued.
  • To receive and review students’ feedback on the services provided by the department and to take corrective actions where necessary;

  • Licensed and registered counsellor with the ‘Lembaga Kaunselor Malaysia’
  • Minimum 3 years of experience in a similar capacity
  • Relevant working experience in the education industry is added advantage

Course Consultant

Department of Sales & Marketing
The Course Consultant is one of the key points of contact between the university and the customers (parents and students, ranging from foundation level to postgraduate level).

Key roles: Respond to queries from various touchpoints (such as emails, WhatsApp, telephone, walk-in, chatbot, apps, etc) offering advice about suitable courses relevant for the prospective students, offering support for their registration process and for financial aid (PTPTN, EPF, scholarships, grants, etc).


1) To achieve monthly or annual student recruitment targets by registering students

2) To build the business by identifying prospects and selling to them

3) To provide essential information about the market demands, competitive market and opportunities available as part of the sales engagement process

4) To recommend new opportunities and service improvements

  • Maintaining relationships with customers by providing support until conversion and beyond
